Job Summary:
The Operations Manager oversees and maintains print and online inventory. Serves as high-level support for our sales and marketing efforts including answering incoming calls to our customer service and sales phone lines. Coordinates tradeshow exhibits.
Responsibilities:
Serve as Oracle Super User
- Coordinate issues that cannot be resolved with Oracle support team
- Troubleshoot issues and errors
- Serve as point of contact with anything relating to the Oracle system
- Maintain “how-to” manuals for the various modules and processes
- Handle issues and maintain high service level to customers
- Serve as back up to answering phones and keying orders
- Manage phone system, including recording customer messages
- Provide related support and training
- Keep home page fresh w/ new product and promotions
- Update with new products and remove out of print products
- Stay abreast of any changes or service disruption issues
- Work hand-in-hand with marketing manager to optimize the store with search engines
- Serve as point of contact for warehouse regarding inventory
- Prepare reorder reports and order product to maintain optimal inventory levels
- Prepare, maintain, and send files to print vendors
- Issue and maintain purchase orders; request quotes from print vendors; ensure we pay competitive prices; code invoices and track payments with accounting; calculate unit cost; ensure order delivery dates
- Add all new items to Oracle; coordinate with production manager to calculate unit cost
- Ensure payment of booth deposit and final payment
- Order booth furnishings and code related invoices
- Coordinate shipping of product stock, supplies and marketing materials to/from exhibits
- Maintain show supplies
- Coordinate signage and promotional materials with marketing manager
- Maintain show calendar in conference room
- Maintain POS system and credit card machines including training and instructions
Essential Qualifications:
- Associate’s Degree and 3-6 years experience in handling inventory
- Must be outgoing and people-oriented with excellent customer service and sales skills
- Ability to change strategy quickly to accommodate ever-changing audience behavior
- Highly organized with attention to detail and problem-solving
- Operational Computer System experience (ie SAP)
- Working knowledge of html
- Foundation for learning and understanding Oracle
- Ability to travel domestically at least once per year
- Ability to research market trends to align products appropriately
- Previous experience in Oracle
- Previous experience in a supervisory role
