Currently we are opening position for HR Administrator and will be based at Singapore.

HR Administrator

To provide administrative support to specialized areas of the HR Department and contribute to the provision of a professional HR service to staff, in areas like recruitment and selection, the IPDR (individual performance and development review) process, training and the computerized time and attendance system.

Context

Human Resources is an IB Department directly reporting to the Director General. Its mission is to make IB the preferred employer in the field of international education and to create an environment encouraging IB’s human capital to develop in order to deliver high quality services to IB stakeholders in partnership.

The HR Administrator assists in a wide range of specialized HR activities, depending on regional and domain needs. Depending on the regional situation, the HR Administrator does high level administrative work in domains such as recruitment, selection, IPDR, salary, employee benefits, employee events.

The jobholder has contact with Regional and Domain Departments and with external stakeholders when required. The job demands high standards of personal integrity and confidentiality.

Key Accountabilities
  • Payroll and Salary Administration: Administer payroll data and store pre the organizations policy, current & accurate.
  • Benefits Administration: Administer Benefit statements; update terminations and enrolments, accurate and timely. Compile open enrolment information and communicate to staff timely.
  • Time and Attendance: Keep attendance data (sign-in log and checklist to ensure sickness, absence and annual leave) and store pre the organizations policy, current & accurate. Prepare reports monthly. Generate reports for department managers quarterly; recap of employee’s time off data.
  • Relocation, Retention: Record keeping and processing of all relocation, retention; accurate and up to date.
  • Recruitment process: Organise all applicant communication, professional and timely. Post job advertisements internally and externally in a timely fashion. Take part in interview panels. Administer work permit requests and monitoring pro-actively and completed timely.
  • New Hires: Prepare New Hire packets and paperwork for new employees. Assist in making calendar for orientation. Provide employees with the supplies and workstation they need to be productive. Enter new employee information into the HR Oracle system. Create, update and maintain personnel records.
  • Termination: Complete all administrative steps for each termination timely and accurately.
  • Performance Management: Assist and keep records during the employee performance appraisal process.
Pre Requisites
  • Bachelor degree with educational background in a related field
  • Or the equivalent combination of education and experience required for this position, e.g. High school degree with at least 5 years of experience in HR administrative support.
  • Payroll (Readypay) experience is preferred.
  • Ability to relate well with others at all levels, work independently and as part of a team.
  • Good organizational skills, ability to multi-task, priorities, meet deadlines.
  • Good communications skills both written and oral.
  • Strong attention to detail and a strong sense of urgency.
  • Proficient in Microsoft Office (Word, Excel). Knowledge of Oracle is a plus but can be acquired by on the job training.
