Principal Accountabilities:
- Act as first point of contact for both internal and external visitors wishing to contact line manager to ensure that only those having genuine and acceptable reasons may do.
- Provide a complete correspondence service for the department line managers, routing correspondence as necessary and drafting replies where appropriate to ensure that all mail is dealt with efficiently and appropriately.
- Provide a time management/ diary service for the department line managers to ensure they are able to attend all key meetings at the appointed time.
- Maintain records / files, work with procurement to replenish stationary and arrange servicing of office equipment to ensure the departments line managers can function effectively and efficiently.
- Coordinate with receptionist to make travel arrangements in a time-effective way, including complex itineraries/ venues, ensuring most effective use of departments’ line managers’ time.
- Secondary school education and vocabulary training for secretaries.
- Maintain 5 years in a similar position with a recognized company
- Awareness and understanding of function and objectives throughout the organization
- Advance computer literacy with good knowledge of commonly used business software programs
- Good communication and organization skills
- Good command of written and spoken English.
- Ability to prepare good standards reports in the English language.
