PURPOSE

To ensure effective and efficient administrative support primarily to the Resourcing and Organization Development teams, and other HR teams as required.

This will be facilitated through administrative coordination and support as required and outlined below.

ACCOUNTABILITIES

Main provider of administrative services for the Resourcing and Grad/Intern Teams within Human Resources to include:
  • Post vacancies and maintain recruitment activity within PageUp.
  • Work with the HR Resourcing Specialists to schedule interviews, as required, for all employee and agency contractor vacancies
  • Schedule candidate travel, hotel requirements, and subsequent AMEX statement reconciliation
  • Create Recruitment Requisitions within GSAP, as required
  • Develop and produce reports reflecting resourcing performance metrics
  • Manage information regarding sourcing strategies eg agency effectiveness metrics

Responsible for the coordination of on-boarding processes to include:
  • Scheduling pre-employment background checks
  • Scheduling of pre-employment medicals, physicals, and/or drug/alcohol tests
  • Preparation and distribution of offer letters including new-hire paperwork
  • Update the On-Boarding spreadsheet
  • Conference room scheduling for meetings / interviews
Provide support to the OD Team to include, but not limited to:
  • Coordinate Welcome Basket-for-New-Hire Process, including ordering, tracking and monitoring invoices
  • Schedule meeting venues for training programs (internal/external requirements)
  • Coordinate catering requirements for On-Boarding events (Day 1, 2 New-Hire Orientation & JMY New-Hire Breakfast)
  • Administer Long Service Award program
  • Maintain 100-Day Evaluation records
  • Develop presentations and support training efforts
Provide support to the Graduate Recruitment and Talent Management Teams to include, but not limited to:
  • Support on-site campus re preparation of information packages
  • Assist with logistics in scheduling travel for on-site meetings
  • Support talent management re compilation and analysis of data and development of graphs, trends etc
Provide other administrative duties as required by the Human Resources Team

EXPERIENCE AND QUALIFICATIONS
  • Tertiary Degree Qualification (e.g. B Bus) or an equivalent significant number of years of related experience in the environment to which assigned
  • Minimum 2 years working in an administrative capacity in a Human Resources, Recruitment and/or Contractor Agency environment.
